To facilitate the provision of tailored employment opportunities, we collect specific information from you, including your name, contact details, educational background, work history, emergency contacts, immigration status, financial details (for necessary financial background checks), and social security number. Additional relevant information may also be shared at your discretion. 

Client Data

If you’re a JN Recruitment client, we require information about you or your organisation’s representatives to deliver services such as finding suitable candidates or providing outplacement services. This may include notifying you about relevant content, like salary surveys. 

Website users

Limited data is collected from our website users to enhance user experience and manage our services effectively. This includes using Google Analytics to analyse website usage patterns and popular times. We also may use website cookies to collect information.

Please be aware that our processing of the previously mentioned information is essential for the legitimate, efficient, and dependable execution of the recruitment process. Failure to provide the required data or supplying incomplete or inaccurate/false information may hinder the successful completion of your application. Any discovered incomplete or false statements subsequent to the formal contract of employment may result in termination of employment and/or other legal ramifications.

• To assist in job search by aligning your candidate profile with vacancies received from clients
• To schedule interviews with our team at JN Recruitment and/or our client
• To incorporate your information into any administrative procedures related to job interviews or offers
• To notify you about potential positions of interest, such as through job alert emails
• To forward your resume to our clients
• To communicate by telephone call, text message or email about vacancies we believe you may be interested in.
• To fulfil our legal obligations – at times, we may be required by law to retain specific candidate information

Individuals or entities who will receive your personal data.

Your personal data will primarily undergo processing by the JN Recruitment team and our clients or individuals who have relationships with our clients. 

For recruitment-related matters, such as attending interviews, the necessary scope of your personal data will be disclosed to involved parties organising meetings. 

Your personal data will be processed using cloud-based storage/computing technologies. All providers of these services maintain their cloud processing facilities within the European Economic Area (EEA) or in countries recognized by the European Commission as offering adequate protection.

Your personal data is exclusively handled according to the purposes outlined in this privacy statement. Any additional purposes for processing will be communicated to you beforehand or upon data collection, where legally permitted. Moreover, such processing will be conducted based on a legal basis. We ensure that your personal data undergoes no further processing than what is essential to fulfil our processing objectives.

Transfer to Non-EU countries

Except for the communication of a limited scope of your personal data to the clients or advisors established outside the EEA, we do not intend to transfer your personal data to any other recipient established outside the EEA. We shall ensure that we only use providers that are able to demonstrate that an adequate level of protection of your personal data is applied.

Retention

Should you register on our website, apply for a job, or subscribe to job alerts through the website, the information gathered will be stored for up to 2 years after registration, unless you’ve been engaged in a recruitment process. 

The data will be kept for 2 years following our last interaction with you. Towards the end of this period, we’ll reach out via email to seek your consent for continued data retention. 

If we discover your CV via third-party platforms, personal data collected will be retained for a maximum of 4 weeks, unless you choose to register directly on our website. In such cases, your data will be retained for the same duration as other registrants.

In the event of obtaining a copy of your personal or legal documents, we’ll retain it for a maximum of 4 weeks. Also, references will be retained until the conclusion of the particular recruitment process.

For candidates who give us the consent to extended data retention for future applications, we’ll keep your information for an additional year beyond the standard retention period.

Data security 

We have implemented organisational and technical measures to safeguard your personal data against unauthorised access, alteration, disclosure, transfer, or destruction, whether accidental or intentional. Access to your data is strictly limited to authorised personnel and we ensure that the information is stored in accordance with GDPR. 

Your Rights

Although we already possess your personal data, you retain various rights concerning it. For inquiries regarding these rights, please reach out to us at j.strambach@jn-recruitment.com. We will promptly address your requests. 

You may exercise the following rights:

• Access and review the information we have about you in our database, and correct any inaccuracies or outdated information.
• Request the deletion or removal of your personal data from our system, unless legally required to retain it.
• Request to restrict the processing of your information. 
• Obtain and utilise the personal data you provided to us for your own purposes across various services.
• Request a copy of the data we hold.
