Payroll partner Poland

Your payroll & EOR partner for the Polish market

Poland is the industrial engine of Central Europe — and a market with its own payroll rulebook. An employment contract (umowa o pracę) under the Polish Labour Code, ZUS social-insurance registrations, monthly contribution declarations, PIT advance payments to the tax office, PPK pension auto-enrolment with an approved provider: none of it is optional, and all of it lands before your new hire receives a first payslip. Companies that have already found their candidate lose weeks here — or improvise with a B2B contract that Polish authorities can later reclassify as disguised employment.

There are two clean routes. If you have (or will build) a Polish entity, a payroll service provider in Poland runs the monthly payroll, ZUS filings and registrations for you. If you have no entity and don’t want one yet, an Employer of Record (EOR) employs your hire legally in Poland while you direct the day-to-day work — what many US companies would call a PEO. The market for both is crowded and opaque; registrations, service depth and pricing vary enormously. And sooner or later a Polish expansion also needs an employment lawyer for the contract, a tax advisor for the registrations and an accountant for the books. We vet all of it for you.

JN Recruitment is a boutique recruitment firm headquartered in Mannheim with its own office in Warsaw — and the expansion partner international companies use for the Polish market. Years of placing people in Poland have built us a network of the best employment lawyers, tax advisors, payroll bureaus, accountants and registered EOR providers in the country. We recommend exactly the specialists your case needs — free of charge, at the partner’s standard rates — and stay your single point of contact. What we deliver ourselves is the headhunting: the sales recruitment agency for Poland that international machinery, industrial-technology and recycling companies already use to enter the market.

What we arrange

Payroll & employment services in Poland

Whatever stage your Poland plans are at — first hire without an entity, or a full team on an existing Sp. z o.o. — this is what our vetted Polish network delivers: EOR providers, payroll bureaus, employment lawyers, tax advisors and accountants, matched and introduced by us:

Employer of Record (EOR) Poland

The partner becomes the legal employer of your hire in Poland — Polish employment contract, ZUS registrations, payroll, PIT withholding, PPK enrolment — while you manage the work day-to-day. Live within days, no Sp. z o.o. required. The standard route for a first hire in Poland.

Payroll services & payroll bureau

For companies with a Polish entity: a specialised payroll bureau runs the monthly payroll, ZUS contribution declarations, PIT advances to the urząd skarbowy, PPK transfers, payslips and year-end PIT-11 certificates — no in-house Polish payroll expertise needed.

PEO & co-employment solutions

Searching for a “PEO Poland”? The US-style PEO doesn’t exist 1:1 under Polish law — the compliant equivalents are EOR employment via a registered agency or outsourced payroll on your own entity. We translate what you actually need into the right Polish construct.

Employment law, tax & accounting

Specialised employment lawyers for watertight Polish contracts and terminations, tax advisors for registrations and filings, accountants for the books — the advisory bench every Polish expansion eventually needs, already vetted and briefed.

HR outsourcing & contractor compliance

Onboarding paperwork, medical examinations, health-and-safety training, absence tracking — plus audits of Polish B2B setups: the contractor model is widespread in Poland, but authorities can reclassify disguised employment, and partners convert contractors into compliant employment before that happens.

Recruitment & headhunting — by us

The part we deliver ourselves: executive search for technical sales and leadership roles in Poland, run by Polish-speaking consultants from our Warsaw office. If you don’t have the candidate yet, we find them — then plug employment and payroll in behind the signed offer.

Market knowledge

Employing in Poland: what employers should know

Polish employment is rule-dense but navigable — if you know the structures before you sign. The essentials we brief every company on before a Polish hire:

18

Months — the temporary-work time limit

EOR employment in Poland typically runs through a registered temporary-work agency (listed in the KRAZ employment-agency register) — and Polish law caps temporary work at 18 months with the same user company within any 36-month period. A serious Poland plan uses EOR as the bridge and has the own-entity switch mapped early. We flag this in every introduction.

≈4,800

PLN — statutory minimum wage 2026

Poland’s minimum wage rose to PLN 4,666 per month in 2025 and to roughly PLN 4,800 in 2026 — one of the fastest-rising floors in the EU. Professional salaries sit far above it, but the floor drives ZUS minimums, B2B contribution bases and junior industrial pay — and it moves every January.

B2B

Two contract worlds — and a compliance line

Senior Polish professionals often work on a kontrakt B2B — invoicing as a sole trader — instead of an umowa o pracę, trading job protection for higher net income. Legitimate when genuinely independent; risky when the working reality is employment. Our partners structure both routes compliantly and convert setups that would not survive an audit.

PPK

Auto-enrolment pension since 2019

Every Polish employer must offer PPK (Pracownicze Plany Kapitałowe): employees are auto-enrolled, the employer pays a minimum 1.5% of gross on top and the employee 2%, with opt-outs that renew every four years. First-time employers regularly miss the provider contract and enrolment deadlines — an EOR or payroll partner has this built in.

Employer cost benchmarks

What a Polish employee really costs

Payroll quotes in Poland are built on the statutory ZUS contributions both sides pay on gross salary. The current picture — the source of the “roughly 20% on top” rule every employer budget should use:

Contribution Employer pays Employee pays
Pension insurance (emerytalne) 9.76% 9.76%
Disability insurance (rentowe) 6.5% 1.5%
Sickness insurance (chorobowe) 2.45%
Accident insurance (wypadkowe) ≈0.67–3.33%
Labour Fund & Guaranteed Benefits Fund (FP + FGŚP) ≈2.55%
PPK pension plan (statutory minimums) 1.5% 2%
Health insurance (zdrowotne) 9%

Orientation figures for 2025/26, rounded: accident insurance varies by sector, PPK applies unless the employee opts out, and the pension and disability contributions are capped once annual pay exceeds thirty times the projected average wage. Rule of thumb: a PLN 20,000 monthly gross costs the employer roughly PLN 24,000–24,500 all-in. Your payroll or EOR partner’s quote is the binding number.

Poland Q&A

Payroll & EOR in Poland: frequently asked questions

Yes. An Employer of Record (EOR) employs your candidate in Poland on your behalf: the EOR holds the Polish employment contract, runs payroll, ZUS and PPK, and you direct the day-to-day work. No Sp. z o.o., no Polish bank account, no registrations on your side. It is the standard route for a first hire in Poland — with one Polish particularity: EOR setups typically run under temporary-work rules capped at 18 months per employee within 36 months, so plan the switch to your own entity if the role is permanent. A common alternative first step in Poland is a B2B contract with the candidate’s own sole-trader entity — we brief you on when each route fits.

The EOR is the legal employer under Polish law. It issues a compliant umowa o pracę, registers the employee with ZUS, withholds PIT advances, pays social contributions, enrols the employee in PPK, arranges the mandatory initial medical examination and health-and-safety training, issues monthly payslips and administers vacation and sick leave. You remain in charge of the work itself — targets, tasks, tools, day-to-day management — and reimburse the EOR for gross salary, employer contributions and a service fee.

Typical Polish EOR pricing is a flat €200–500 per employee per month, or a percentage of gross salary — on top of the salary itself and roughly 20% employer ZUS contributions. Compare that with the alternative: forming and running a Sp. z o.o. means formation costs, accounting, annual filings and a local payroll setup — rarely worth it below three to five employees. We match you with a partner whose pricing fits your head-count and flag the all-in monthly number before you commit.

Budget roughly 20–21% employer contributions: pension (9.76%), disability (6.5%), accident insurance (≈0.67–3.33% by sector), the Labour Fund and Guaranteed Employee Benefits Fund (≈2.55% together) and the minimum 1.5% employer PPK contribution. The pension and disability parts are capped once annual pay exceeds thirty times the projected average wage — relevant for senior salaries. As a rule of thumb, a PLN 20,000 monthly gross costs the employer roughly PLN 24,000–24,500 all-in, before any bonus, car or EOR fee.

In the US, a PEO co-employs your staff while you keep your own entity; an EOR employs them fully so you don’t need one. Polish law has no 1:1 equivalent of the US PEO model — the compliant Polish constructs are EOR employment through a registered employment agency (no entity needed) or outsourced payroll and HR administration on your own Sp. z o.o. Providers use both labels loosely, which is precisely why we check what a partner actually delivers before we introduce them.

Yes — if it is done properly. EOR arrangements in Poland typically run as temporary work (praca tymczasowa) through an agency registered in the national employment-agency register (KRAZ), with equal-treatment rules and the 18-months-in-36 limit per user company enforced. An unregistered provider exposes you to fines and a deemed employment relationship with the worker. Registration status is the first thing we verify in our partner vetting — and a question you should ask any EOR you talk to.

Yes. If your Sp. z o.o. or branch already exists, a Polish payroll partner takes over the monthly run: payslips, ZUS contribution declarations, PIT advances to the tax office, PPK transfers, sick-pay calculations and year-end PIT-11 certificates. Typical pricing runs per payslip per month. The same partners handle the ZUS employer registrations if your entity has never employed anyone in Poland before.

Via EOR: the Polish employment contract is typically ready within three to five working days once the candidate’s documents are complete — the fastest compliant route into the Polish market. Building your own entity first takes weeks to months including registrations. In practice the binding constraint is usually the candidate’s notice period: Polish statutory notice is tied to tenure — two weeks, one month or three months — while candidates on B2B contracts can often start within weeks. As recruiters, that timing is the part we actively manage for you.

Often — but only if the setup is genuinely independent. The kontrakt B2B is widespread in Poland and many senior professionals prefer it for the higher net income. The line matters, though: fixed hours, one client and direct subordination are classic markers of disguised employment, and reclassification means back-dated ZUS contributions and penalties. Where B2B is the right route, our partners structure it cleanly; where the working reality is employment, EOR employment costs little more and removes the risk.

No — and that is deliberate. JN Recruitment is a boutique recruitment firm and your expansion partner for Poland: with our own office in Warsaw and years of placing candidates here, we have built a vetted network of the best employment lawyers, tax advisors, payroll bureaus, accountants and registered EOR providers — and we recommend exactly the specialists your case needs. You contract directly with the partner at their standard rates; the recommendation costs you nothing, and we stay your single point of contact. What we deliver ourselves is the search: if the candidate doesn’t exist yet, our Polish headhunting finds them.
